Things we own
What goes where
Five lists. One home for each thing your company keeps.
The rule, in one line each
- Offices and yardsWhere the company works or stores things, owned or rented.
- VehiclesAnything with a license plate: trucks, cars, vans and trailers.
- EquipmentUnplated equipment you own and maintain: lifts, generators and big tools.
- PropertyItems assigned to a person and returned when they leave.
- SoftwareApps and subscriptions, including the seats your team uses.
What each list asks
| List | It asks | It is used for |
|---|---|---|
| Offices and yards | Address, contacts, rent and utilities. | Running each location and understanding its costs. |
| Vehicles | Driver, financing, fuel, insurance and maintenance. | Fleet costs per year and per mile. |
| Equipment | Financing, useful life, insurance and maintenance. | The cost of owning and keeping equipment. |
| Property | Serial number, warranty, and who has it now. | Knowing who holds what, and getting it back when someone leaves. |
| Software | Subscriptions, renewal dates and assigned seats. | Keeping access and subscription costs in view. |
The ones people ask about
A trailer
Has a plate? It belongs with the fleet.
A skid steer or a lift
No plate. Track what it costs to own and maintain.
A nail gun or a ladder
Small tools: one yearly amount. Worth a few hundred dollars and lasts over a year? Use Equipment.
A phone or a tablet
Track the device here; the phone bill goes in Everything else.
A drone
Assigned to someone. Returned when they leave.
A fuel card
Track the card here; fuel charges go in Vehicles, once for the fleet.
A crew lead's own truck
Reimburse mileage here. A personal truck is not a company vehicle.
Software
Assign seats. Track the subscription.
One thing goes on one list. If something seems to fit two, pick by the rule at the top.
